New invoicing in Xero begins 2nd September

Beginning the week of 2 September 2024 at 7am AEST, Xero is rolling out a major update that will see all users transitioning to their new invoicing system. This change will bring a more flexible, efficient, and customizable invoicing experience, with the classic version being retired on November 20, 2024. Here’s everything you need to know to prepare for the switch.

Why the Change?

Xero’s classic invoicing has served users well, but as technology evolves, so must the tools we use. The new invoicing system is built on the latest technology, allowing Xero to introduce new features and improvements more rapidly. The classic invoicing platform has reached its technical limits, making it necessary for Xero to move to a more modern solution that offers greater flexibility, customization, and a smoother user experience.

Key Dates to Remember

- Week of 2 September 2024: Xero will start defaulting users to the new invoicing experience. This will happen on a rolling basis, meaning you might see the new interface the next time you log in to create an invoice.

- 20 November 2024: Classic invoicing will be fully retired. After this date, all users will need to use the new invoicing system.

What’s New in Xero Invoicing?

The new invoicing system brings a host of improvements designed to streamline the invoicing process and help you get paid faster. Here are some of the key features:

- Enhanced Email Tools: The new invoicing includes a live, side-by-side email preview and an optimized email format designed to drive faster payments.

- Simplified Payment Process: Fewer steps for your customers mean a smoother, quicker payment experience.

- Customisable Invoice Templates: Xero’s future updates will include a reimagined invoice template editor, giving you more control over how your invoices look and feel.

- Part Payments: Soon, you’ll be able to invoice for part payments, like deposits, which is perfect for businesses that require upfront payments.

- Automated Invoice Reminders: Set up smarter, automated reminders to ensure your invoices are paid on time.

- Multiple Delivery Addresses: Add multiple delivery addresses to an invoice, providing more flexibility for your business needs.

What Should You Do Now?

If you haven’t already, it’s a good idea to switch to the new invoicing system ahead of the default changeover in September. This will give you time to familiarize yourself with the new features and ensure that your invoicing process is smooth and efficient by the time the classic system is retired.

- Explore New Features: Many of the features you loved in classic invoicing are still available, along with new tools designed to enhance your workflow. For example, you can now add previously invoiced items to a new invoice with a single click, attach files directly from Xero’s file library, and set draft invoices to repeat automatically.

- Stay Informed: Xero is continually updating its platform with new features and improvements. Make sure to check Xero Central regularly for updates on what’s coming next and how to make the most of the new invoicing system.

- Training Resources: Xero offers a self-paced guide to help you get up to speed with the new invoicing system. This guide includes handy videos and how-to tips to ensure you’re using the platform to its full potential.

Final Thoughts

The switch to Xero’s new invoicing system is a big change, but it’s one that brings a wealth of new opportunities to streamline your invoicing process and improve your business operations. By switching over now, you can start taking advantage of these new features and ensure that your transition is as smooth as possible before the classic invoicing system is retired in November.
